Communications & Member Networking Assistant

Position Summary
The Communications & Member Networking Assistant shall have the primary responsibility to provide support to the Director of Communications & Member Networking, including projects and reports.  Additional administrative support will be provided to other program areas as assigned. Complies with NC Open Meeting and Public Records Law by ensuring meetings are noticed and minutes are recorded and maintained.


Essential duties under the direction of the Director of Communications & Member Networking:


Communication Support

  • Proofs/edits all assigned communication materials by deadlines
  • Coordinates distribution of publications
  • Maintains up to date information on / proofs on a regular basis to ensure accuracy of information
  • Processes and posts classified ads
  • Tracks social media statistics and prepares monthly usage reports
  • Maintains updated information on Bar Center welcome screen 
  • Sells and processes annual Membership Directory areas of concentration orders meeting financial goals
  • Sells and processes orders of annual Membership Directory  meeting financial goals
  • Develops relationships with local businesses and solicits door prizes for events
  • Research local businesses for sponsorship/advertising ideas
  • Serves as liaison to Memorials Committee
  • Supports assigned committees / maintains notebooks/master files
  • Submits and tracks invoices, deposits and expenses
  • Other support as assigned

2. Member Networking Support

  • Tracks assigned event registrations
  • Researches and maintains area venue details and catering options 
  • Assists with  outside-party requests to use the Bar Center facility 
  • Provides event support for various Bar programs, including set-up, registration and clean-up with occasional evening hours when needed

3. Other

Assists other areas as assigned, including but not limited to

  • Program support
  • Front desk support
  • Data entry

May perform other duties as required.

Scope of Responsibility
Somewhat independent; work frequently done independently by following practices and procedures while occasionally having work checked. 


Knowledge and Skill Requirements
Excellent interpersonal and communication skills (both written and verbal).  Well organized, self-directed and able to manage time. Ability to multi-task, prioritize, and meet deadlines; high level of versatility in order to switch roles on demand.

Efficient and effective event and meeting-planning skills.  Excellent copyediting and proofreading skills.
Ability to rapidly learn and apply new related skills. 

Ability to work effectively with the volunteers, the public, and staff in achieving individual and team objectives and a positive team spirit. 

Ability to make administrative decisions in accordance with the established bylaws and polices. 

Reasoning Ability:  Ability to use critical thinking skills, to deal with a variety of variables under only limited standardization and interpret various instructions.

Mathematics Ability:  Ability to perform basic math skills, use of decimals to compute ratios and percents, and to draw and interpret graphs.
Language Ability:  Ability to read and understand work related materials including but not limited to instruction manuals, atlases, maps/directions, etc.  Ability to prepare documents using proper punctuation, spelling and grammar.  Ability to communicate effectively.

Computer Technology: Basic web design knowledge


Education and Experience
Associates Degree or the equivalent combination of education, technical certifications, training, and/or work experience.

Minimum of 1  to 3 years related work experience.

Proficiency in Microsoft Office is required.


Physical Demands
Talking:  Especially where one must frequently convey detailed or important instructions or ideas accurately, loudly, or quickly.

Motion:  Movements frequently and regularly required using the wrists, hands, and/or fingers.

Hearing:  Able to hear average or normal conversations and receive ordinary information.

Visual:  Average, ordinary, visual acuity necessary including close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. 

Physical:  Will regularly be required to sit, use hands to finger, handle or feel objects, tools or controls; reach with hands and arms.  Must be able to stand, walk, stoop, kneel, crouch, crawl and climb stairs.  Must be able to sit in front of computer monitor for long periods of time.  Must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 20 pounds, and occasionally lift and/or move up to 40 pounds.


Work Environment
Office environment; noise level is usually moderate.


Travel Required
Travel is required for this position. Must be able to travel to various local sites for meetings and events.
